Kingsbridge Healthcare Group are currently seeking to fill the role of Appointment enquiries and booking advisor within the Appointments Department to provide a comprehensive secretarial service to the department, processing patient letters and communicating with patients and the wider multi disciplinary team to maintain safe patient pathways. The successful candidate will be based at Kingsbridge Private Hospital North West (Ballykelly)

Job Summary

The Role

As an Appointment Enquires & Booking Advisor, the successful candidate will join a highly dynamic team responsible for scheduling outpatient appointments. The candidate will gain an in-depth knowledge of the booking process across a range of medical specialties.

We are looking for highly motivated applicants who are committed to producing quality outcomes and those who thrive on the challenge of working in a fast paced and busy office environment.

Main Responsibilities

  • Scheduling of Outpatient clinics within appropriate timescales.
  • An efficient, effective and focused response to all enquiries via telephone and email
  • Ensuring all records are accurate and up to date relating to patient treatment
  • Liaising with colleagues across a variety of teams
  • As part of a team ensure that patients are handled quickly and effectively
  • Liaise with Consultants regarding suitable dates/times for Outpatients clinics and inform Outpatients and X-ray staff of same.
  • Book appointments upon receipt of referral letters from GPs and issue appointment letters.
  • Set up Outpatients clinics, including preparing/retrieving patients’ medical charts, results, x-rays etc.
  • Liaise with personnel in Surgical Ward and Medical Secretariat to arrange relevant review appointments.
  • Monitor information for and communicate with the relevant Trusts/Hospitals/Boards regarding Outpatients appointments.
  • Arrange medico-legal appointments for relevant Consultants.
  • Participate in mandatory training as required.
  • Participate in annual performance reviews and development planning.

Essential Criteria

  • 5 GCSE grades A-C including Maths and English or Equivalent.
  • Evidence of experience in the full MS Suite including Word and Excel
  • Understanding of the Data Protection Act and importance of confidentiality
  • The ability to communicate effectively with a wide range of people via the company telephone and other electronic systems
  • Excellent customer service skills and telephone manner
  • An eye for accuracy and detail when dealing with patient records
  • Understand the role of teamwork in providing quality service
  • Ability to work on own initiative
  • Demonstrate ability to problem solve
  • Highly organised and able to prioritise tasks
  • Confidence in your ability to deal with changing deadlines
  • Commitment to ongoing development
  • Motivated and enthusiastic

Desirable

  • Previous experience of CRM/databases
  • Background in medical administration
  • Knowledge of medical terminology
